Checking out Department Vehicles


The department vehicles are an important resource for this department. They are used for both teaching and research related activities. The continued long-term use and maintenance of these vehicles is dependent to a great extent on the care they receive by the operators. Currently the Department has three 15-passenger vans, one 4WD truck, and one Suburban. The vehicles are located in the parking lot behind the Physics and Education School buildings. The following are the guidelines for using the vehicles:

  • No personal use.

  • No alcoholic beverages to be carried on the vehicles.

  • Vehicles can and should be reserved ahead of time to insure availability. The reservation book, along with keys & gas cards, is in the main office (Clark 204).

  • Vehicles should be left with at least half a tank of gas at all times. Each vehicle has a Department gas card(s) included in the id-pouch on its key ring, to be used at the appropriate gas stations. Make sure a gas card is present when you check out the keys. Please check the oil every time you fill up with gas.

  • Keep the vehicles clean by picking up and throwing out your trash, etc.

  • Please return the keys when finished. If returning after 5 p.m. or on a weekend, keys should be dropped in the slot in the mailroom door.

  • Each time you use a vehicle you must record the following information in the red vehicle notebook stored inside each vehicle:

    1. driver's name,
    2. where the vehicle is being driven to,
    3. beginning & ending odometer readings,
    4. total mileage driven,
    5. purpose of the trip, and
    6. the Department charge code paying for the trip.

    These are the offical records of vehicle use and are collected weekly by the Department accountant.
  • Report any damage (i.e. mirrors pulled off, dents, ...) done to the vehicle immediately to Neal Grandy or Ron Castelino. Also let us know of any other types of problems with any vehicle, no matter how minor they may seem. Failure to do so may result in loss of vehicle privileges.

  • If you should have an accident, please follow the instructions on the "accident" card located in the vehicle.


PLEASE NOTE: The Department has a cell phone that can be taken on local class or research trips. Please see Cindy Allen in Room 204 if you would like to use the cell phone.
